RETREAT PARTICIPANT AGREEMENT

Terms & Conditions and Liability Waiver

Please read this document carefully before completing your booking. By making payment or registering for the retreat, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions.

1.0 GENERAL AGREEMENT

By booking, paying for, or attending this retreat, you (the "Participant") agree to the following Terms and Conditions, including the Liability Waiver outlined below. Acceptance of these terms does not require a written signature — any part or full payment made constitutes acceptance. A signature is required separately for the Video/Photo Release Waiver.

These terms govern your participation in retreats and programs organised by Pause With A Purpose Retreats, in partnership with associated facilitators and hosted venues including Zensi Retreat Centre, Mudgee, and other locations as specified at the time of booking.

2.0 RETREAT INCLUSIONS & EXCLUSIONS

Each retreat listing clearly specifies what is included and excluded. Unless explicitly stated otherwise, the following are generally not included:

Airfares and airport transfers

In-transit accommodation

Visas, passport fees, and airport taxes

Travel insurance

Alcohol

Private coaching sessions, massages, or additional excursions

Immunisations and travel health requirements

3.0 BOOKINGS, PAYMENTS & CANCELLATION POLICY

3.1 Reservations & Payment

To secure your place on a retreat, you must complete a booking form and make your initial deposit or instalment payment as specified at the time of booking. Where a payment plan is offered, subsequent instalments are due as per the fortnightly or agreed schedule. Final balances are due no later than 30 days prior to the retreat start date.

If final payment is not received by the due date, the retreat organiser reserves the right to cancel your reservation and make your place available to others. In this event, your deposit will be forfeited. Payments may be made via PayPal Invoice or Direct Bank Transfer.

3.2 Cancellation by Participant & Refund Policy

If you wish to cancel your retreat you must notify [email protected] by email. Once we’ve received your notice, cancellation will take effect. Please NOTE that we employ a strict NO REFUND POLICY. Due to the nature of the business and Pause With A Purpose Retreats incurring costs immediately upon a customer’s acceptance and payment, Pause With A Purpose Retreats reserves the right not to refund monies under any circumstances.

Retreats operate under a strict no-refund policy. Where this applies, it will be clearly stated at the time of booking, and all payments are final regardless of circumstances including change of mind, illness, personal emergency, travel disruption, or force majeure.

We strongly recommend purchasing comprehensive travel insurance, including a "Cancel for Any Reason" policy, as this is the most effective way to protect your financial investment.

3.3 Cancellation or Changes by Retreat Organiser

In the unlikely event that the retreat is cancelled or significantly altered by the organisers — due to natural disaster, illness, civil unrest, government restrictions, force majeure, or any other unforeseen circumstances — Participants will be offered one of the following options:

Transfer of their deposit or full payment to a future retreat (within 12 months of the original retreat start date); or

A full refund (in the event of organiser-initiated cancellation only).

The retreat organisers are not responsible for reimbursing any additional expenses (including but not limited to airfares, visas, gear, or accommodation) incurred by participants as a result of changes or cancellations.

Participants are advised to seek reimbursement through their travel insurance provider.

4.0 TRAVEL INSURANCE & DOCUMENTATION

4.1 Travel Insurance (Mandatory)

Travel insurance is mandatory for all retreat Participants, whether travelling domestically or internationally. Your policy must cover the retreat location and dates, and must include:

Medical coverage and emergency evacuation

Natural disaster coverage

Retreat or trip cancellation

We highly recommend adding "Cancel for Any Reason" coverage to your policy. This protects you in the event of personal emergencies, changes by the organiser, or unforeseen disruptions.

4.2 Travel Documents & Immunisations

Each Participant is solely responsible for obtaining all required travel documents, including a valid passport (with at least 6 months validity beyond the return date), visas, and any other documentation required for travel. Participants are also responsible for obtaining any required immunisations. Please consult your nearest travel clinic for the latest requirements.

The retreat organisers accept no liability for travel disruptions caused by invalid or insufficient documentation.

5.0 HEALTH, MEDICAL & DIETARY INFORMATION

5.1 Health Declaration

By booking this retreat, you confirm that you are in good physical and mental health, and are capable of participating in all scheduled activities. If you are pregnant, have a chronic health condition, are taking prescribed medication, or have a mental health diagnosis, you agree to consult your GP or relevant specialist prior to attending.

This retreat is a wellness and educational event. It does not constitute or replace medical advice, diagnosis, psychological therapy, or medical treatment of any kind.

5.2 Dietary Requirements & Allergies

Meals provided during the retreat are designed with participant wellbeing in mind. You must notify us in advance of any dietary requirements, food allergies, or intolerances. While we endeavour to accommodate all needs, cross-contamination cannot be entirely ruled out for Participants with severe allergies. The organisers accept no liability for adverse reactions.

6.0 ASSUMPTION OF RISK & PERSONAL RESPONSIBILITY

Retreat activities may include, but are not limited to: yoga, breathwork, meditation, ice baths and cold exposure, fire ceremonies, guided practices, movement sessions, hiking, swimming, kayaking, and other physical and emotionally evocative experiences.

I acknowledge and understand that participation in these activities carries inherent risks, including but not limited to:

Physical injury, illness, or death

Emotional distress or psychological reactions

Allergic reactions

Environmental hazards including weather, water, wildlife, and terrain

Accidents in remote locations with limited or delayed access to medical facilities

I voluntarily assume full responsibility for all risks, known and unknown, that may arise from my participation. I understand that my participation is entirely voluntary. I am responsible for honouring my physical and emotional limits at all times, and may opt out of any session or activity at any point without judgment.

7.0 LIABILITY WAIVER & RELEASE OF CLAIMS

To the fullest extent permitted by law, I hereby release and hold harmless the retreat organisers, facilitators, contractors, instructors, hosting venues (including Zensi Retreat Centre), and all affiliated individuals and legal entities involved in the planning, delivery, and hosting of this retreat, from any and all liability, claims, demands, or causes of action arising from my participation in this retreat, including but not limited to:

Personal injury or death

Property loss or damage

Psychological or emotional distress

Financial loss

Disruptions arising from force majeure, including natural disasters, pandemics, travel restrictions, or governmental actions

I understand and accept that I am responsible for my own health, wellbeing, and personal belongings throughout the retreat. The retreat organisers carry no responsibility for Participants who leave the retreat early or engage in activities outside the scheduled itinerary.

8.0 CODE OF CONDUCT

This retreat is a safe, inclusive, and respectful space. All Participants are expected to:

Treat all facilitators, staff, and fellow Participants with respect and compassion

Follow all safety guidelines and instructions from retreat leaders

Refrain from behaviour that disrupts or endangers the experience of others

Respect the rules and policies of the retreat venue

Disclose relevant medical conditions, allergies, or dietary restrictions in advance

The retreat organisers and facilitators reserve the right to remove any Participant whose behaviour is deemed disruptive, harmful, or in violation of these terms, without refund and without liability.

9.0 PHOTOGRAPHY & MEDIA RELEASE

By attending the retreat, you acknowledge that photographs or video recordings may be taken during the event for promotional and marketing purposes. Unless you notify the organiser in writing prior to the retreat commencing, you grant permission for your image, likeness, and voice to be used in retreat promotional materials across digital and print platforms, including social media, websites, and broadcast media.

You waive any right to inspect or approve the finished content and any right to royalties or compensation arising from the use of your image or recording. A separate signed Video/Photo Release Waiver form is required.

10.0 DISPUTE RESOLUTION

In the event of any dispute arising from participation in this retreat, the parties agree to first attempt resolution through good faith mediation. If mediation is unsuccessful, any disputes shall be subject to the laws of New South Wales, Australia, and the parties submit to the exclusive jurisdiction of the courts of New South Wales.

11.0 DISPUTE RESOLUTION

By signing below, I confirm that:

I have read, understood, and agree to all Terms and Conditions set out in this document.

I participate voluntarily in all retreat activities and take full responsibility for my physical, emotional, and psychological wellbeing during the event.

I release and hold harmless all facilitators, organisers, contractors, and affiliated entities from any and all liability arising from my participation.

I understand this is a wellness and educational retreat and does not constitute medical, psychological, or therapeutic treatment.

I confirm I am of legal age (18 years or over) and have the legal capacity to enter into this agreement.
